The Events Coordinator works closely with the Sales team regarding event planning, facilitation, and execution. The Events coordinator administrates all events specifically for the Event Logistics team.
Books internal events in Siriusware for all department meetings and events.
Helps to manage bookings in Siriusware for other departments’ internal meetings.
Processes full and partial payments for all events including upsells. Additionally, oversees types and frequencies of all client payment methods.
Books SPY characters and speakers for events.
Serves as contract management liaison to clients ensuring complete execution of all agreements from start to finish.
Ensures that all check requests have been submitted by date of event.
Compiles all paperwork for Event Captains and assembles “Event Captain Binders”.
Creates and submits proofs relating to signage to clients for approval.
Oversees printing of client’s signage.
Manages monthly catering commission reports.
Manages day-time events for clients (daytime events are defined as those occurring between the hours of 8:00am-5:00pm).
Submits Help Desk /Facilities requests for all events.
Stocks site visit bags for both Sales and Logistics teams.
Manages linen orders and invoicing.
Runs quarterly event report.
Provides additional support the Sales team as needed and only approved by Private Events Manager.
Other duties may include: site visits, collaborating with other departments on internal events, inputting data into CRM, managing all internal linen and equipment inventory, working with the Sales Assistant on various tasks.
Four-year college degree
1-2 years in events coordination
Events coordinator possesses strong, effective communication and computer skills including a complete understanding of the Microsoft Office Suite and of CRM systems (Salesforce.com is a plus)
The standard work hours are 9am to 6pm Monday thru Friday. Frequent duties outside the standard work hour are needed to support events. Flexible schedule needed.
