Development and Membership Assistant



The Development and Membership Assistant will provide administrative assistance to the Development and Membership Department including scheduling meetings, managing databases for both donors and members and providing administrative support for Development and Membership staff.

Knowledge, Skills and Abilities Required

  • Advanced knowledge of Microsoft Office, specifically Excel, Word and PowerPoint
  • Experience in Salesforce and/or Sirius ware 
  • Represents the company in a professional manner to other team members and stakeholders
  • Exercises good judgment 
  • Self-starter with the ability to multi-task and meet deadlines  
  • Interest for Donor/Member relationship a priority  
  • Skilled at interfacing with varying internal and external stakeholders 
  • Strong oral and written communication skills  
  • Detail oriented with strong organizational skills
  • Experience with document coordination/creation
  • Experience with event coordination

Essential Responsibilities

  • Manage and maintain donor and membership databases including deduping, updating and correcting database records
  • Process donations and prepare acknowledgement letters and other correspondences
  • Maintain foundation, corporation and individual donor files
  • Create monthly fundraising, membership and round-up reports and other database reports as needed
  • Coordinate production and mailing of fundraising appeal letters
  • Handle all administrative details associated with any fundraising committees (e.g., prepare and distribute notices, agendas, minutes, etc.)
  • Regularly monitor and research potential donor websites and identify donor opportunities matching the work of the International Spy Museum.
  • Assist the Vice President of Development and Membership with writing concept notes, project ideas and project proposals and ensure their timely submission
  • Aid in organization and logistic of cultivation events including working with caterers and event space coordinators
  • Assist in the coordination of donor site visits
  • Handle administrative functions for the department including scheduling department meetings, coordinating catering for meetings, ordering supplies, preparing donor packets, and handling mailings
  • Support the Vice President of Development with coordination of her calendar for events and donor meetings
  • Manage and continuously update the donor wall 
  • Regularly review donor and sponsorship materials to ensure it is up to date and accurate
  • Perform all other related duties as assigned

Minimum Education Required

Bachelor's degree

Minimum Experience Required

Minimum of three years development and/or membership administrative experience, preferably in a fundraising or sales department. Experience in working in a fast-moving environment and meeting deadlines.
